Course Syllabus

At Brentwood Open Learning College, enrolment is open throughout the year and there are no entry-requirements to fulfil for any of our courses.  This Level 4 PA and Secretarial Diploma takes place over nine modules, during which you’ll be provided with expert tutor support on demand:

Module 1 - The Job Functions of a PA / Secretary

The course begins by outlining the daily duties of the secretary or PA, in which candidates begin building a picture of the profession.  The personal qualities and character traits needed to succeed in the field are also discussed, along with the functions and objectives of secretaries in an organisational setting and the differences between a PA and a secretary.

Module 2 - Telephone Skills

The importance of refined telephone skills is discussed in the second module, in which candidates consider the internal and external communications handled by PAs and secretaries.  Additional tips and guidelines for dealing with unexpected call volumes are provided, along with how to take accurate messages, the art of effectively screening calls, caller redirection and dealing with difficult people by phone.

Module 3 - Mail Services and Shipping

A detailed introduction to business mail and shipping services follows in module three, focusing on the different types of consignments and how to choose an appropriate shipping service.  Candidates also consider the unique requirements of non-standard consignments and packages of high-value, along with tips for ensuring consignments reach their destination on time.

Module 4 - Travel Arrangements

Candidates are then guided through the process of making travel arrangements on behalf of others, while considering a series of associated challenges.  The potential benefits and drawbacks of involving travel agents are also discussed, along with the advantages of making reservations online, selecting appropriate transportation methods and preparing in advance for unexpected eventualities.

Module 5 - Organising Meetings

An introduction to some of the more typical types of business meetings follows in module five, outlining the duties and responsibilities of PAs and secretaries accordingly.  Examples of which include selecting appropriate venues, issuing invitations, communicating important information in advance, notifying delegates of changes in scheduled activities and more.

Module 6 - Time Management

The importance of advanced personal time management skills as a PA is discussed in module six.  Candidates learn how to make better use of their time, handle complex and challenging workloads through strategic prioritisation, avoid procrastination and create helpful ‘action plans’ to ensure their efficient and consistent performance at all times.

Module 7 - Keeping Accurate Records

Module seven examines the various records, journals and documents created and overseen by the PA or secretary.  The potential benefits and drawbacks of digital documents vs hard copies are discussed, along with how and when important records should be backed up, the objectives of accurate record keeping and an overview of the Dewey decimal classification system.

Module 8 - Writing Business Letters

Learners are then guided through the process of creating some of the most important business letters in a typical office environment.  Several different types of business letters are dissected and discussed, along with how professional letters differ from personal letters, the importance of an appropriate ‘sign off’ and how to write letters on behalf of someone else.

Module 9 - Other Written Communications

In the ninth and final module, the functions and characteristics of letter reports and internal memorandums are discussed at length.  Candidates also learn how to incorporate bibliographies into important business communications, while considering the major differences between external and internal communications.
