Module 1 - The Job Functions of a PA / Secretary

The everyday duties and responsibilities of secretaries and personal assistants are outlined in the first module, along with the personal qualities and character traits needed to thrive as a PA.  The various organisational settings in which secretaries and PAs work are also discussed, along with the importance of establishing good relationships with employers.

Module 2 - Telephone Skills

An introduction to advanced telephone skills follows in module two, in which candidates consider the various different types of inbound and outbound calls handled by secretaries.  Various tips are also presented for dealing with elevated call volumes, along with techniques for handling difficult callers, how to effectively screen calls and the importance of taking accurate messages for others.

Module 3 - Mail Services and Shipping

The third module provides a crash-course introduction to mail handling and shipping duties as a Secretary or PA.  The various different carriers and their respective functions/benefits are discussed, along with several important tips for reducing the risk of shipments being delayed or going missing in transit.  Packaging and insurance considerations are also brought into discussion.

Module 4 - Travel Arrangements

Candidates then study the duties of PAs and secretaries where organising national and international travel on behalf of others is concerned.  The pros and cons of making travel arrangements via travel agents are examined, along with how to choose an appropriate method of transportation, the advantages of online bookings and how to make special requests when required.

Module 5 - Organising Meetings

Module five breaks down the process of organising a variety of different types of meetings, while discussing the associated responsibilities of the PA or secretary.  Course content covers the selection of appropriate venues, inviting delegates, providing updates on meeting plans and the importance of consistent communication at all times.

Module 6 - Keeping Accurate Records

The art of keeping accurate records is discussed in module six, in which candidates explore the various different types of records and journals managed by secretaries.  The benefits and drawbacks of hard copies vs digital files are discussed, along with the criticality of making regular backups and the additional challenges faced when working between multiple computers.

Module 7 - Writing Business Letters

In the seventh and final module, candidates are introduced to several standardised business letters as produced by secretaries and PAs.  The functions and characteristics of business letters, personal letters and email communications are discussed, along with the difference between penning a letter personally and writing on behalf of someone else.
